THE R.O.O.T. METHOD

Privacy Policy

Effective October 18, 2026

This Privacy Policy explains how The R.O.O.T. Method collects, uses, protects, and shares information when you visit myrootmethod.com, create or use an account, participate in a group, or otherwise use our website, mobile experience, and related services. We designed the service to support Scripture engagement, discipleship, reflection, prayer, and Christian community. Some information shared through the service may be personal or sensitive, so please read this policy carefully.

By using The R.O.O.T. Method, you acknowledge the practices described in this policy. If you do not agree with this policy, please do not use the service.

1. Who We Are

The R.O.O.T. Method operates the service available at myrootmethod.com. References to “The R.O.O.T. Method,” “we,” “us,” or “our” in this policy mean the operator of the service.

Privacy questions and requests may be sent to hello@myrootmethod.com.

2. Information We Collect

We collect information you provide, information generated through your use of the service, and limited technical information needed to operate and protect the service. This may include:

3. Private and Shared Content

Journal entries, R.O.O.T. reflections, Bible notes, and highlights are intended to be private to the account holder. They are not shown to other members unless you intentionally share the content through a community feature.

Community posts, comments, prayer requests, profile details marked public, and similar contributions may be visible to members of your group and to administrators or leaders who manage the community. Do not include information in shared areas that you do not want group members to see.

Prayer requests, reflections, and community discussions may reveal religious beliefs, health concerns, family circumstances, or other sensitive matters. Authorized administrators and service providers may process private or shared content when reasonably necessary to operate the service, provide support, investigate misuse, protect safety and security, enforce our rules, or comply with law. We do not use private journal entries or reflections for advertising.

Feedback submitted through the app is private to administrators and is linked to your account for support. Screenshots are stored privately. Please do not include prayer details, passwords, financial information, or other sensitive information. Optional contact details are requested only when you permit follow-up. Testimonial permission is separate: your comment may be shared only with the identity option you choose; screenshots, contact email, and private account information are not included. Feedback is never published automatically.

4. How We Use Information

We may use information to:

App usage totals

We record section visits, estimated active time, and counts of actions such as saving a reflection or opening a resource to improve the app. Active time pauses when the app is hidden or unfocused and after 60 seconds without interaction. Usage records are linked to your account internally to count unique and returning members, retained for 90 days, and removed when your account is deleted. The App Usage dashboard shows community totals, not individual activity histories. This tracking does not record prayer or journal text, notes, search terms, Scripture references, or the contents of your posts. Share and save attempts do not confirm that a file was saved or posted elsewhere.

5. Email and App Notifications

Leader announcements appear in your app inbox. Phone notifications are optional and require your device’s permission. When you enable them, we store a device push subscription and your notification preference to deliver announcements through your browser or operating system’s push service. You can turn alerts off for one device or all devices in Profile or Notifications. Signing out disconnects alerts on that device. Announcements may appear on your lock screen depending on your phone settings.

We may send service-related emails needed to administer your account, including invitations, sign-in or security messages, welcome and onboarding messages, confirmations, and important service notices. We may use Resend, Flodesk, or another email service provider to deliver these account and onboarding communications. These messages are separate from optional marketing or ministry newsletters.

We will send marketing, promotional, or newsletter emails only when you separately choose to receive them or when another lawful basis applies. Marketing consent is not required to create or use an account. You may unsubscribe through the link included in a marketing email. Unsubscribing from marketing does not stop essential account, security, welcome, or onboarding messages that are reasonably needed to provide the service.

6. How We Share Information

We do not sell personal information. We do not share personal information for cross-context behavioral advertising or use private reflections for targeted advertising.

We may share information:

Our current service providers may include:

These providers process information according to their own terms and privacy practices and receive information reasonably necessary for the services they provide to us.

7. External Content and Links

The service may include links to YouTube videos, articles, PDF resources, Bible providers, and other services not controlled by The R.O.O.T. Method. When you open an external link, that third party may collect information under its own privacy policy. We are not responsible for the privacy, security, availability, or content practices of third-party services.

8. Data Retention

We retain personal information for as long as reasonably necessary to provide the service, maintain an active account, fulfill the purposes described in this policy, protect the community, and satisfy legal, security, or administrative obligations.

Invitation links generally expire seven days after creation. We may retain limited invitation history after expiration to prevent misuse, document membership administration, and support account access. When an account is deleted, we will delete or de-identify associated personal information within a reasonable period, except where retention is required or permitted for security, fraud prevention, dispute resolution, legal compliance, or backup recovery. Residual copies may remain temporarily in protected backups until those backups are overwritten through ordinary cycles.

Shared posts or comments may be deleted, de-identified, or retained when necessary to preserve a discussion, respond to a report, protect safety, or meet a legal obligation. Where practical, we will remove information that directly identifies the former account holder.

9. Your Choices and Rights

Depending on where you live, you may have rights concerning your personal information. You may request access, correction, deletion, withdrawal of optional marketing consent, or information about how your personal information is used or shared.

To make a privacy request or request account deletion, email hello@myrootmethod.com from the address associated with your account and include “Privacy Request” or “Account Deletion Request” in the subject line. We may need to verify your identity before completing the request.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls and services that support encrypted transmission and secure authentication. No online service, storage system, or transmission method can be guaranteed to be completely secure. Protect your password and contact us promptly if you believe your account has been compromised.

11. Children and Teen Members

The R.O.O.T. Method is not directed to children under 13, and we do not knowingly collect personal information from a child under 13. A person under 13 may not create or use an account. Members who are at least 13 but under the age of legal majority should use the service only with the permission and supervision of a parent or legal guardian.

If you believe a child under 13 has provided personal information, contact hello@myrootmethod.com. We will review the report and take appropriate steps to delete the information and close the account when required.

12. Changes to This Policy

We may update this Privacy Policy as the service changes or legal requirements develop. When we make material changes, we will post the revised policy with a new effective date and provide additional notice through the service or by email when appropriate.
